ACCOUNTS / ADMINISTRATIVE ASSISTANT (KENYAN JOBS AND JOBS IN KENYA OCTOBER 2013)

Title: Accounts / Administrative Assistant
The Company

We have gained considerable experience and expertise which we continue to deploy in the NGO, Private and Public sectors working with governments and multi-donor funded development initiatives.

The job
The Accounts/Administrative Assistant is responsible for functions related to accounts payable, accounts receivable, petty cash, invoicing, banking and general accounting procedures and file maintenance.

Reporting Relationship
The Accounts /Administrative Assistant is administratively accountable to the Executive Director and functionally accountable to the Company Accountant. By the vantage position of this role, the holder will work closely with the Office Driver/Clerk the Receptionist and the consultants (internal relationships) as well as clients, suppliers/vendors, government offices and other stakeholders.

Essential Duties and Responsibilities
  • Accounting and Finance
  • Correctly and timely Enters invoices in the system
  • Prepares Payment vouchers for vendors, facilities and utilities in a timely manner
  • Maintains back up folders for all transactions in the business including essential documents
  • Prepares and dispatches invoices to clients in a timely manner
  • Collection of debts and withholding tax certificates as may be applicable
  • Weekly production of cost and revenue reports
  • Timely Preparation of monthly VAT returns(by 5th of every month)
  • Preparation of consultants withholding tax certificates
  • Administration
  • File management maintenance
  • Back up for other office staff
  • Maintenance and custody of all accounting records
  • Business
  • Proposal writing and related documentation
  • Any other work as will be appropriate

Qualifications
  • KCSE certificate with C in English and Mathematics
  • CPA 1
  • Must be proficient in the use of Ms Office suite of packages.
  • Good command of English and Kiswahili languages
  • Valid/current certificate of good conduct
  • Working knowledge of Accounting packages including QuickBooks
