RECEPTIONIST (KENYAN JOBS AND JOBS IN KENYA OCTOBER 2013)

Title: Receptionist (REFCDTF/REC/2013) 

Programme: Community Development Initiatives (CDI)
Immediate Supervisor: Administrative Officer

Position Function: Manage the Nairobi CDI Office switchboard and reception, and carry out general office duties
Community Development Trust Fund (CDTF) is a joint initiative of the Government of Kenya and the European Union established in 1996.CDTF is implementing a five year Programme, the Community Development Programme Phase Four (CDP 4) with two components, the Community Environment Facility Phase Two (CEF II) funded by both the European Union (EU) and the Government of the Royal Kingdom of Denmark, and the Community-Based Development Initiatives (CDI) funded by the EU. The main objective of CDTF is to contribute to poverty alleviation efforts in Kenya by offering support in form of grants to community-based projects, which address basic social, economic and sound environmental management priorities. A Job vacancy has arisen in the CDI component that requires to be filled on contractual basis by highly qualified and experienced Kenyan national. The contract duration will be up to 15th April 2015 with a possibility of an extension to 15th October 2015 subject to satisfactory performance and availability of funds for the extended period.
Key Responsibilities:
  • Handle the switchboard and take messages in absence of officers.
  • Receive visitors to the organisation.
  • Maintain cleanliness and tidiness of reception area.
  • Perform registration and filing duties.
  • Perform general clerical work including updating stamps usage register.
  • Handle incoming and outgoing mail.
  • Assist in Receiving and acknowledging Project Applications forms.
  • Provide general information to project applicants and general public.
  • Assist in updating the data base with project applications information and of on-going individual project activities.
  • Assist in performing secretarial duties including word-processing, e-mailing, faxing, data processing, communications, drafting letters, etc.
  • Take minutes of sectional staff meetings.
  • Managing and tracking of hospitality items
  • Assist in collating and delivery of Board documents to Board members.
Qualifications and Experience:
  • Diploma in Business Administration
  • Front Office Management
  • A minimum of 3 years experience of working in a dynamic office environment and performing similar duties
  • Must be self orientated and highly committed and service minded, with proven computer skills and modern office equipment.
  • Experience in front office management and switchboard operation
  • Excellent oral communication and PR skills
  • High level of integrity.
