OFFICE ASSISTANT

Post Title:  Office Assistant , Grade G3
Duty station: Nairobi
Duration: 24 months (12 Months probation) with possible  extension depending on available funding.
Start Date: ASAP
Reporting to:  Work under the overall guidance of the Assistant FAOR Administration and the direct supervision of the Administrative Associate
Job Role, Duties and Responsibilities
The Office Assistant G-3 provides information and general office assistance for programmes and projects of the FAO Representation. He / she works under the overall guidance of the Assistant FAOR Administration and the direct supervision of the Administrative Associate.  The incumbent performs the following duties:
  • Maintenance of the office assets and recording in the corporate systems.
  • Be the custodian of the office inventory, conduct stock takes, and receipts of goods supplied to the office.
  • Retrieve, enter, select and analyse data from a wide variety of sources.
  • Maintain local inventory records with responsibility for proper recording of assets, their maintenance and safeguard.
  • Maintain a filing system of administrative and financial documents.
  • Maintain liaison with local banks and financial institutions to keep up-to-date with financial and regulatory information (exchange and interest rates, procedures and rules, maintenance of bank accounts, etc.).
  • Support the administration of personnel records and in the recruitment process of consultants.
  • Prepare routine correspondence of administrative nature; draft correspondence to verify data, answer queries, and obtain additional information on transactions and financial matters, as required. Maintain imprest accounts;
  • Support the IT person with simple routine office in the IT field.
  • Perform other related duties as required.

Qualifications and experience:
Education:
  • Secondary school education, including or supplemented by courses in general administration, information technology.

Work Experience:
  • Five years of experience in clerical work, inventory management, administrative, and general office support.

Languages:
  • English is the official language of the duty station

Desirable qualifications
  • Ability to take initiative, plan and organize, work under pressure and support an executive as well as management team.
  • Strong programme support capabilities
