Organizational Background:

The World Food Programme Somalia activities include food assistance for relief, emergency school feeding, nutrition and food
assistance for assets creation through provision of in-kind and cash-based transfers.
This position is open to qualified Somali candidates only. Female candidates in particular, are encouraged to apply.

Duties and Responsibilities:
Under the direct supervision of the Logistics Officer and overall supervision of the Head of Area Office, the incumbent will be responsible
for the following duties:
 Act as the cash and voucher focal point responsible for pre-selection of retailers, conducting reconciliations, creating Service
Entry Sheets, tracking retailer invoices etc;
 Act as the Cash Based Transfer (CBT) focal person and respond to queries regarding retailers and CBT logistics related issues;
 Monitor and follow up the movement of food and non-food items;
 Monitor market prices, check availability of commodities, food quality, food expiry dates and general hygiene at traders shops;
 Train retailers on the use of Point of Sale (POs) machines and when and how to submit invoices;
 Prepare Area Office weekly and monthly reports;
 Process retailers weekly and monthly payments;
 Conduct oversight missions to retailers to ensure they are in compliant in-line with the contract and report accordingly;
 Liaise with various departments on matters pertaining to CBT and SCOPE;
 Liaise with the programme unit if there are any expiring funds and take appropriate action;
 Ensure Purchase Order Cash for Beneficiaries (POCBs) are utilized in the exact time frame given;
 Provide support to logistics operations and activities to ensure effective delivery of food assistance to beneficiaries;
 Monitor the performance of vendors;
 Support operational planning during food dispatches from the warehouse and vessel arrivals at Bosaso seaport;
 Process documentation for execution of logistics operations and take appropriate actions to resolve operational issues and
escalate problems as appropriate;
 Perform other related duties as required.

Minimum Qualifications:
Education: Completion of secondary school education, preferably supplemented by technical or university courses in logistics.
Experience: At least five years of progressively responsible job related work experience in logistics, transport, supply chain,
contracts administration or other related field. Experience maintaining corporate systems and running queries on
ongoing shipments, pipeline information, administering third party service providers’ contracts, compiling contract
documentation, contract execution, and budget monitoring and reporting is desirable.
Language: Fluency in both oral and written communication in English and Somali is a requirement.
Knowledge: Experience utilizing computers, including word processing, spreadsheet and other standard software packages and
systems. General knowledge of UN system administrative policies, rules, regulations and procedures in the area of
work would be an added advantage.

Procurement & Sourcing Manager


Our client, who imports and distributes supplements, is looking to recruit a Procurement & Sourcing Manager to be based in Nairobi, Kenya. The ideal candidate MUST have over 5 years experience in handling technicalities of international and local haulage/transportation. He/She MUST be conversant with knowledge of international commerce, finance and import/export laws in the FMCG industry.

Key Responsibilities:

·         Handle details relating to possibly international transportation and any necessary documentation.
·         Execute strategic and tactical sourcing for inventory as set out in the company programme.
·         Monitoring, the inventory codes of all products in the shipment.
·         Ensure proper pricing and distribution once the goods land.
·         Evaluate the markets and sources of supply across the globe.

Assistant Supply Officer

Assistant Supply Officer (On Replacement Capacity) 
Organizational Context (role of the position within the team, describing its leadership role, it’s external/internal work relationships or contacts, the contextual environment in which it operates and the scope of supervision received, and where applicable, exercise by the incumbent)

Job Purpose

  • The Assistant Supply Officer manages and supports all activities pertaining to the supply chain function including planning, sourcing, transport, shipping, customs clearance and warehousing management in the operation.
  • The incumbent is normally supervised by the (Senior) Supply Officer who provides regular coaching and guidance. S/he will also refer to UNHCR manuals and relevant policy papers.
  • The incumbent is required to have basic conceptual knowledge of the profession, by dynamic and able to take on higher responsibility progressively. The incumbent does not normally have direct supervisory role over other staff.
  • The incumbent maintains regular contact on a working level on routine issues with other UNHCR offices, UN agencies, NGOs, government partners and commercial contractors in the area to facilitate the operation.
  • The incumbent directly supervises general service staff in the office, and reports to the (Associate) Supply Officer.
  • The duty of the incumbent is to support and monitor the management of material resources within the geographical area covered by the office while exercising efficiency in the use of those resources.
  • Contacts are predominantly with other UN agencies, Implementing partners and Government Departments on relevant subject matters at the working level.
Accountability (key results that will be achieved)
  • UNHCR delivers timely and quality goods and services to persons of concern in compliance with supply chain rules and procedures. .
  • The local supply chain function is optimised and aligned with the operations’ evolving needs and management systems, and has an infrastructure that is robust and flexible enough to accommodate operational requirements.
  • Supply activities are supported by effective partners.
Responsibility (process and functions undertaken to achieve results)
Strategy
  • Prepare plans for delivery of relief items according to operational needs.
    Apply UNHCR’s procurement strategy when planning for purchase of important commodities and services.
Operational Support
  • Identify partners for supply chain projects based on objectives, priorities, strengths and resources of the implementing partner and/or contractor, according to criteria consistent with UNHCR rules and regulations.
  • Ensure timely customs clearance of consignments and manage storage of goods according to “best practices” and UNHCR rules and regulations.
  • Maintain an efficient system for the release, distribution and redeployment of goods.
  • Coordinate transportation and distribution of relief items.
  • Maintain accurate and comprehensive records on logistical activities and provide timely reports and updates both periodically and on request.
  • Coordinate activities of implementing partners and/or contractors performing supply related activities, and ensure that they understand and adhere to relevant UNHCR rules and procedures.
  • Through regular physical verification of PPE establish their status.
  • Propose old and obsolete PPE for disposal and plan for arrival of replacement items.
Infrastructure Support
  • Evaluate purchase requisitions to ensure that specifications, delivery dates and all other requirements are in order.
  • Draft and dispatch quotation requests and/or tenders, assist in the evaluation of offers and draft bid-tabulations, and prepare proposals for award of contracts to the Committee on Contracts.
  • Prepare Purchase Orders and send confirmations, requests for inspection and other correspondence.
  • Monitor the manufacture/transport of ordered goods to ensure timely delivery.
  • Analyse matters relating to procurement activities, and deliver information on all procurement activities within area of responsibility. Provide guidance and advice on UNHCR procurement policies and procedures to support and assist requesting sections.
  • Implement effective asset and fleet management that regularly monitors the asset/fleet pool, saves cost and safeguards the investment of the organisation including receipt, inspection, registration & marking of new Property, Plant and
  • Equipment (PPE), and organisation of the physical verification of PPE.
  • Ensure that PPE agreements are properly issued and signed. Ensure proper preparation of disposal forms and cases for the Asset Management Board. Organize the disposal of PPE according to Asset Management Board decisions.
  • Provides asset management reports, customised reports, and gathers information on all assets and provides in-depth reports periodically and when requested.
  • Analyse the quality of commodities and services delivered in relation to the needs of the location and established quality standards. Establish a local quality assurance process.
Business Support
  • Adapt local supply chain structures to be consistent with the operational needs.
  • Ensure effective information flow in the supply chain and adapt local process to the prevailing environment.
  • Monitor the quality and accuracy of supply chain related data in relevant business systems.
  • Compile and analyse statistical information, identify trends and developments in supply chain related matters that will assist in decision making.
  • Disseminate, promote commitment to and monitor compliance with UNHCR’s global policies, standards and guidance on supply chain management.
  • Any other responsibility deemed necessary or as delegated by the Head of Supply Management Service in order to meet the level of service requires by the organisation.
Authority (decisions made in executing responsibilities and to achieve results)
  • Identify, assess and select vendors based on their capability for delivering commodities and services. Maintain vendor and item master databases.
  • Allocate resources to meet demand and support the on-going operation in compliance with the resources allocation framework.
  • Determine shipment methods, routes and delivery schedules to meet demand in the most timely and cost-effective manner.

Essential Minimum Qualifications

  • University Degree in Business Administration, Engineering, Logistics, Mathematics or related field.
  • Minimum 2 years of relevant professional experience.
  • Knowledge of computer applications from MS Office (Word, Excel, PowerPoint)
  • Fluency in English with working knowledge of another relevant UN language.
Desirable Qualifications & Competencies
  • Completion of UNHCR Supply Chain Learning Programme and other UN supply related training.
  • Knowledge and experience of PeopleSoft/MSRP Supply Applications.
  • Completion of Fritz Institute Certificate in Humanitarian Logistics (CHL).

Regional Quality Control Officer

The International Committee of the Red Cross (ICRC) is an impartial, neutral and independent

organisation with the exclusively humanitarian mission to protect the lives and dignity of victims of war

and internal violence and to provide them with assistance. It also endeavours to prevent suffering by

promoting and strengthening International Humanitarian Law and universal humanitarian principles.

The ICRC Logistic Centre in Nairobi (Industrial Area) is seeking an experienced & highly motivated

individual to fill the position of Regional Quality Control Officer (non-medical goods).

RESPONSIBILITIES:

 Ensures that non-medical goods received from Local and International Suppliers undergo relevant

quality inspection and  Validates quality inspection reports;

 Evaluates data, using statistical methods for analysis, interpreting results, managing

documentation;

 Ensures transparent Samples Analysis of all Tendered Items;

 In close cooperation with Senior Purchasers conducts assessment/evaluation of

suppliers/manufacturers & accurate specifications for contracts;

 Assists SCA and Purchasers to define the description for Non-standard items;

 Prospecting of the market  to identify new Inspection Companies and manage their contracts;

 Performs assessments/audits of inspection companies/laboratories;

 Coaches and organizes work of Quality Controller and Storekeepers performing QC;

 Provides support to QC units in the region, including short support missions when necessary.

MINIMUM REQUIREMENTS:

 Holder of a University Degree in Quality Management  or a relevant degree;

 2 years of relevant experience in metrology, sampling, quality inspection and/or

purchasing/warehousing;

 Working experience in inspection company and/or assessments/audits is an asset;

 Able to write clear and concise reports, procedures and quality documents in English;

 Able to assess legal aspects of supplier/manufacturer capacity;  

 Extensive Knowledge in the application of ISO requirements;    

 Excellent command of written and spoken English(knowledge of French is an asset);

 Advanced Computer Skills (Word, Excel, Power point, Databases).

under pressure with tight deadlines, high organisational skills, rigorous, precise and honest, able

to travel.

Our client, a market leader in animal processing industry across Africa is seeking to recruit the best talent in the region for the position of Farm Manager. The successful candidate should have a background in Animal Production with expertise in Poultry Production.

Key Responsibilities:

• Ensure safe custody of processed stock.
• Maintain accurate records of the stock transactions and balances of the same.
• Stock management and control.
• Ensure efficient management of stores.
• Management of packaging costs and inventory.
• Customer service.
• Ensure proper invoicing and monitoring of the stock ledger.
• Document movement of stock in laid down procedure.
• Approve postings of the movement into the stock system.
• Investigate major variances identified.
• Ensure that the cold store is well managed.
• Ensure hygiene and maintenance of Food Safety according to FSSC 2000.
• Act as liaison between production and sales departments in sales planning.
• Supervise all activities of the packaging stores.
• Ensuring proper recording of packing materials.
• Ensure that the re-order levels are maintained.

Qualifications:

• Bachelor’s degree in business management / logistics / supply chain.
• At least 7 years experience in stores management particularly in manufacturing sector.
• Must be familiar with logistics accounting procedures.
• Membership with CIPS (Certified Institute of Purchasing Supplies Management).
• Proven analytical and warehouse / stores management skills.
• A high level of integrity and reliability.

Monthly gross salary: Ksh. 100,000 - 150,000/= (Approx. 1,111 - 1,666 USD)depending on experience

The primary mandate of the Authority is to obtain unclaimed financial assets from the holders of such assets on behalf of the Government, safeguard and re-unite the assets with their rightful owners.

Procurement Assistant

Profile

  • Ensuring timely, efficient and effective procurement of goods, services and works;
  • Preparing requisitions for quotations or tenders to prequalified suppliers or the public;
  • Establishing in co-ordination with the relevant department and end-users, quality specifications of goods and services required by the Corporation;
  • Carrying out designated checks on quality and security aspects of procurement;
  • Ensuring equitable and fair distribution of Requests For Proposals to all prequalified suppliers;
  • Reviewing the supply chain to ensure it is efficient and effective;
  • Managing the annual supplier pre-qualification exercise;
  • Overseeing the receipt of all tender applications, ensure they are in safe custody, compile and prepare Tender Committee papers;
  • Supervising purchases, stores management and inspection and issues of goods; and
  • Providing an effective secretariat to the Tender Committee.
  • Ensuring filling of returns with PPOA on timely basis.
  • Issuing and receiving stores;

  • Initiating stock control and assisting in stock taking and reconciliation;

Procurement Assistant Job

  • A Bachelors degree in Business, Economics, Procurement and supply chain management or comparable qualification from a university recognized by the Commission for University Education
  • Higher Diploma in Purchasing and Supplies Management
  • Demonstrated knowledge and experience in procurement and management
  • At least 3 years relevant work experience
  • Membership to a relevant professional body
