Qualifications for the Internship

Certificate or Diploma in Information Technology or any related course to apply.
Degree holders or part-time students will not be qualified for this job.
No experience needed, just be open and willing to learn.
Qualified candidates will have undergo a 6 months to 1 year paid internship.

 II. Organizational Context

UNDP is the United Nations' global development network, an organization advocating for change and connecting countries to knowledge, experience and resources to help people build a better life. UNDP is currently in 177 countries worldwide and works in the following programme areas:

  • Governance and Rule of Law (GROL)
  • Poverty Reduction and Environment Protection Programme (PREP)

In Somalia, UNDP works with local partners ‒ NGOs, civil society and government towards a peaceful and secure nation for all Somalis. Together with 23 other UN agencies, UNDP is helping Somalis recover from 20 years of conflict, build peace, rebuild their institutions, and set Somalia on the path to development.

UNDP supports the people of Somalia to achieve the following outcomes: peace building and conflict management, people-centered governance and law, economic recovery and environmental protection, and protecting and empowering women. It carries out its work through two main programmes - Governance, Rule of Law and Security and Poverty Reduction and Environment, and incorporates issues of Human Development and Economics, Peace building, HIV/AIDS and Gender across all of its work. UNDP Somalia has its office in Mogadishu, area offices in Hargeisa, Somaliland and Garowe, Puntland, and a support centre in Nairobi. The internship will be based in Nairobi, Kenya.

The Human Resources unit is seeking an intern who is interested in gaining experience and providing support to this work. The Intern shall report to the Human Resources Specialist.


III. Duties and Responsibilities


Under the overall guidance of the Human Resources Specialist/Learning Manager, the intern is expected to perform the following tasks:
·         Support in maintaining a user-friendly filing system;
·         Implement electronic storage system and attendance records;
·         Coordinate the preparation and validation of material to be posted on the UNDP Somalia website on the HR intranet page;
·         Administrative support, such as data entry and preparing new files for use; 
·         Assistance with quality control: liaise with candidates to request missing documentation or details in professional history;
·         Facilitate timely collection of medical and other sensitive documents.
Outputs
  • Effective administrative support for staff;
  • Effective support to newly recruited staff members.

V. Recruitment Qualifications
Education:
  • The candidate must be currently enrolled in an accredited university Master’s programme specializing in Human Resources Management.
Experience:
  • Excellent skills in the usage of computer software packages (MS Word, Excel, etc)
Language requirements:

·         Fluency in English - written and spoken is required.

Availability
and duration:

·         Availability: Immediate
·         Duration: Six months on a full time basis.
Conditions of the Internship:

·         Interns are considered gratis personnel. They are not staff members;
·         Interns are not financially remunerated by UNDP. The costs associated must be borne by the nominating institution, related institution or government, which may provide the required financial assistance to its students; or by the student, who will have to obtain financing for subsistence and make his or her own arrangements for transport, accommodation, etc.

Finance and Admin Intern

Main Focus: Finance and Administration
 
Areas of responsibilities:
 
Finance
  • Overall management of office petty cash
  • Preparing internal and external payments for staff and suppliers
  • Preparing monthly balance sheet reconciliation with the guidance of Finance Officer
  • Preparing monthly bank reconciliation-FS main bank account and project bank accounts
  • Preparing payment vouchers & journal for all Forum Syd accounting transactions
  • Assist in Quarterly financial reporting to donor on project outcome
  • Monitoring and reporting on staff advances on a monthly basis
  • Assist Finance Officer in carrying out audits-both Project & Institutional audits
  • Daily posting of financial transactions is Forum Syd accounting system (Agresso)
Administration
  • Assist in maintaining an updated fixed asset register for all office assets and the ones transferred to partners for project implementation
  • Coordinate procurement of office goods and services in line with Forum syd procurement policy & procedures
  • Coordinate issuance of air ticket and use of contracted taxi services by staff
  • Ensure recovery mileage used by Forum Syd vehicles
  • Other general admin duties in the office.
Duty Station: Nairobi-Kenya
