Finance Officer; Administration Assistant; Estate Manager

We are looking for suitable candidates to fill the following positions.


Estate Manager

 
Main duties:
  • Ensure that all RGS facilities, buildings and compound are maintained at the highest standards
  • Manage all cleaning, maintenance, repair and construction works.
  • Maintain a comprehensive maintenance and repair schedule
  • Manage all gardening and landscaping,  to ensure that the school compound is clean, lawns and flower gardens are well kept
  • Keep an updated inventory of the company buildings, furniture, equipment and other related assets.
  • Carry out a monthly audit of facilities and give recommendations to the management should there be need for major enhancement of the facilities.
  • Co-ordinate the logistics and administrative aspects of various school events in terms of venue arrangements, liaising with the Heads of Schools.
  • Responsible for issuing maintenance supplies/materials stores and issuing to the users in a timely manner. In charge of the maintenance material stores and workshop and such stocks being used for maintenance, repairs and work in progress.
  • Provide leadership to the Estates Department Team  members
  • Prepare monthly management reports
Qualifications Knowledge and Experience:
  • Bachelor degree in Business Administration or Minimum of a Diploma in Business Administration or its equivalent.
  • Minimum 6 years’ experience 3 of which must be in middle level management.
  • Excellent communication, organization, leadership and multi-tasking skills.
  • Proficient in standard office software applications
  • Ability to work under pressure and meet deadlines,
  • Must be of high personal integrity and ethics.
  • Must have accuracy and keen attention to detail
  • Proactive and self-motivated
  • A team player with the ability to establish understanding and rapport with colleagues across the entire organisation.
Finance Officer
 
Main duties:
  • Provide quality accounting services essential to the preparation, administration, supervision, and control of the budget.
  • Appropriately and accurately enter/Record all income and expenditure transactions into accounting system.
  • Reconcile all bank, control and other accounts.
  • Contribute in preparation of monthly income and expenditure statements and budget comparison and cash flow reports.
  • Process all Petty Cash reconciliations on a weekly basis, or as required.
  • Assist the Financial Controller in compiling the plans for each school and consolidating the plans into the results for the group.   
  • Establish and maintain an effective inventory control and property accounting system.
  • Provide advance warning of potential over expenditure of budgeted funds.
  • Supervise accounts payable processes and procedures.
  • Deposit all revenue collected and render accurate and timely reports to the financial controller.
  • Supervise regular stocktaking exercises and maintain inventory records;
  • Cooperate with the external and internal auditors and provide information to them as requested.
  • Prepare financial and other reports at regular intervals.
Qualifications Knowledge and Experience:
  • Must have full CPA – K
  • Bachelor degree in Finance will be an added advantage 
  • Minimum 3 years’ experience in busy financial office.
  • Mature and able to relate well with clients.
  • Excellent communication, organization, leadership and multi-tasking skills.
  • Proficient in standard office software applications. Knowledge in SAP is desired.
  • Ability to work under pressure and meet deadlines.
  • Must be of high personal integrity and ethics.

Administration Assistant
 
Main duties:
  • Work closely with senior manager to ensures proper management of his/her workload
  • Manage office communication including screening phone calls emails, letters, and enquiries.
  • Manage the reception area and direct visitors appropriately
  • Diary management, including making appointments and organizing day –to-day activities
  • Prepare for meetings and ensuring the manager is well-prepared for the meetings
  • Take minutes and follow up on action matters
  • Manage travel and accommodation arrangements
  • Manage office petty cash
  • Organize and maintain office systems, including appropriate filling of documents
Qualifications Knowledge and Experience:
  • A diploma in Administration
  • Minimum 3 years’ experience in similar capacity.
  • Mature and able to relate well with clients.
  • Excellent communication, organization, leadership and multi-tasking skills.
  • Proficient in standard office software applications.
  • Must be of high personal integrity and ethics.
  • Must have accuracy and keen attention to detail
  • Proactive and self-motivated
  • A team player with the ability to establish understanding and rapport with colleagues across the entire organisation.
