Our client on the leading supermarket seeks to fill the following open position. The position is very urgent and only for a person currently working in a supermarket.


Vacancy: Products Coordinator

Main Purpose of Job: To provide a coordinating function between the store, Corporate and the Majors Warehouse with particular emphasis on ITB's in and out of the store and the follow up of promotional activities.



Key Responsibilities

Stock
·                     To check orders and ITB's placed by Corporate and recommend the necessary cancellations or amendments
·                     To ensure that amendments or cancellations to orders and ITB's are timeously actioned and updated in the system.
·                     To control and co-ordinate ITB movement for the store with a turn around period of three days.
·                     To co-ordinate and follow-up on promotions, ensuring that memos and stock are received and actioned timeously.
·                     To ensure all reports and memos, to and from Corporate, are received and actioned within the due dates.
·                     To liaise with Buyers and Suppliers.
·                     To ITB slow selling lines to fast selling stores.
·                     To scrutinize and action, in conjunction with the Merchandise Manager, core stock, discontinued stock and range reports
·                     To raise ITB's for majors' deliveries.
·                     To control and maintain all necessary registers and files.
·                     Ensure that archiving is carried out and the documentation is readily available for auditing purposes within your area of responsibility.
·                     Complete the out of stock list as per the procedure.
·                     Complete the signage and complete signage requests forms.
·                     Balance the mass cell reports daily.
·                     Capture the CDD's and make all necessary arrangements for the CDD.
·                     Prepare for promotion by ordering stock in advance.
·                     Capture all core counts.
·                     Complete all filing as per procedure.
·                     Undertake any other duties as requested as by the Merchandise Manager/Store Manager.

·                     Must have a full understanding and knowledge of all computer systems within the store.

Vacancy: Sales Manager

The Role
: To ensure that the all Stock percentage is in line with Company Policy. To achieve the set Turnover & Gross Profit budgets.

To actively promote in store activities so as to enhance the Customer's shopping experience

To ensure that all stock & sales related aspects of the business are adhered to at all times. 

In stock/over stocked liaison with Head Office, Buyers & Planners. 

To ensure that Merchandise standards are upheld & maintained. To ensure that housekeeping of back up areas and sales floor is carried out.

Job Description



·                     Schedule the range report to identify complete range to be merchandised
·                     Liaise with buyers & planners on problem stock
·                     Ensure through the Floor Manager that overstocks are controlled & managed
·                     Ensure follow-ups & liaison is done with suppliers in terms of repairs, returns, special promotions etc
·                     Ensure core stock is at 100% - if not achieved, follow up orders must be in the system
·                     Monitor stock replenishment & integrity
·                     Advertised lines – 100% in stock through correct follow up before Ad breaks. If not achieved, details to be given on who/what/when has been contacted in this regard
·                     Check the orders audit trail daily
·                     Action the Picking Slip report from the warehouse/stock rooms timeously
·                     Monitor store support for advertising
·                     Co-ordinate in-store promotional activity
·                     Schedule bonus buys
·                     Plan for major company promotions – ie Birthday, Christmas
·                     Ensure that suppliers give sales support & demonstrations
·                     Monitor promotional stock levels through audit trail
·                     Ensure that the agreed merchandising, in store ticketing & signage are adhered to & in accordance with the Ticketing Manual
·                     Liaise with Product coordinator on in-store promotional activities
·                     Liaise with Merchandise Division on discontinued lines
·                     Ensure that all merchandise is kept in a sellable condition
·                     Ensure that housekeeping & overall maintenance of all Company assets relating to the sales floor (walls, ceiling, air-conditioning, fixtures, stockrooms) are kept clean & in good working order
·                     Refer to weekly bulletin to ensure Gondola End Product detail is maintained in terms of the
·                     Ensure that all sales floor teams as well as casuals are trained in order to achieve the required standard
·                     Ensure that sales floor teams are aware of daily budgets
·                     Conduct performance appraisals as required
·                     Have a thorough understanding of the Industrial Relations Policy in order to carry out disciplinary hearings where appropriate
·                     Recruitment & selection of subordinates

Vacancy:Administration Manager 

Main Purpose of Job: Controlling and directing all the administration activities, relating to store operations within the framework of the Company.

Key Responsibilities
·                     Responsible for ensuring good customer service and relationships in all administration areas and other areas, if required
·                     Responsible for ensuring the correct cash banking procedure is adhered to.
·                     Responsible for control of paperwork in the distribution area, receiving, dispatch and stock rooms.
·                     Ensure that Service Centre is run efficiently to the benefit of Game and the customer.
·                     Provide financial forecasts in report form for profit/loss information in conjunction with the store manager.
·                     Organise and coordinate the stock-takes in the store.
·                     Ensure that you have a working knowledge of all systems and procedures and that the relevant team has been trained in this regard.
·                     Ensure that updated procedures are adhered to and that all procedures are filed correctly in the store.
·                     Responsible for training and development of subordinates.

Cash Controls

·                     Controlling of the overs and unders.
·                     Checking regularly that the handing and disbursing of Petty Cash and expenses are suitably authorized in accordance with the relevant security and company procedures.
·                     Ensure through the Cash Office Supervisor that the correct cash banking procedure is adhered to.
Customer Service
·                     Ensure the efficient operation of the Customer Service Department within the established Company policies and procedures.
·                     Check and sign the Voucher Exception Report on a daily basis.
·                     Reconciliation of Game Monies.
·                     Check and account for all loan items.
·                     Ensure the disposal of customer repairs not collected older than three months.
Receiving and Dispatching
·                     Ensure through the Distribution Manager that all goods entering and leaving distribution have the correct documentation and that the correct quantities are received and dispatched and that the necessary signatures are obtained.
·                     Ensure through the Distribution Manager that team in distribution are adhering to the company policies and procedures.
·                     Check any outstanding documents, do a follow up in this regard and keep the Store Manager informed of progress at all times.
Service Centre
·                     Ensure the efficient operation of the Service Centre within the established Company policies and procedures.
·                     Follow up with suppliers and ensure that credit claim vouchers are raised timeously.
·                     Ensure that all items leaving the Service Centre are documented onto an official Driver's Schedule.
·                     Auctions to be actioned timeously and within the budgeted guidelines.

Vacancy: Dispatch Clerk

(Must be from the supermarket industry)

Main Purpose of Job: To ensure that the correct documentation is generated according to the Company Policies and Procedures, when goods are being dispatched from the store.

Key Responsibilities
·                     To ensure a Security Officer is present whenever dispatching is done and when the roller-shutter door is open.
·                     To ensure that all ITB's have the correct documentation and are timeously dispatched. All ITB's must be checked in detail before loading.
·                     To ensure that all goods dispatched have the correct documentation i.e. customer deliveries, customer collections, ITB's, CCV's, repairs and Service center stock.
·                     To ensure documentation is followed in sequence e.g. delivery schedules and delivery notes.
·                     To supervise the ITB being picked up.
·                     Follow up on all outstanding ITB's, CCV's and customer deliveries.
·                     Maintain an efficient Dispatch bay – all cartons are clearly marked with details of store number and ITB number.
·                     All SATS containers to be dispatched timeously to avoid damage (if applicable).
Security
·                     Ensure adherence to Company legislated procedures within the store in order to keep shrinkage to the minimum.
·                     Ensure that appropriate measures are taken to secure the assets of the Company.

Vacancy:Warehouse Coordinator

To control and direct, within the framework of the company, the receiving, loading and packing of merchandise, relating to warehouse operations.

Key Responsibilities

Stock
·                     Responsible for ensuring that all merchandise received is packed in such a manner that it is easily identified to allow for efficient retrieval.
·                     Responsible for ensuring that all ITB's are timeously actioned.
·                     Responsible for taking appointments for suppliers, if receiving stock at off site.
·                     Liaise with supplier and head office regarding queries and order numbers.
·                     Ensure that receiving cages are cleared timeously to avoid any hold-ups.
·                     Ensure that all stock in marking area is analysed according to Company procedures.
·                     Ensure promotional stock is dispatched to the store in time.
·                     Physically seal the trucks and keep record of all seals used.
·                     Ensure all stock is cleared before started the new day.
·                     Ensure that all cages are operated as per laid down procedures.
·                     Undertake any other duties as and when required by the Distribution Manager or Store Manager in order to ensure the efficient running of the warehouse.
·                     Responsible for ensuring that the bin location procedures are strictly adhered to.
·                     Oversee the maintenance of high levels of housekeeping in the warehouse.
·                     Periodically do spot checks on bins.
·                     Supervise stock take prep. in warehouse to ensure stock take deadlines are met.
·                     Ensure that all goods leaving the off-site warehouse have the correct documentation and that the correct quantities are entered on the documentation.

Vacancy: Deputy Administration Manager

Main Purpose of Job: Controlling and directing all the administration activities, relating to Checkouts, Customer Service and Cash Office within the framework of the Company.

Key Responsibilities

·                     Responsible for ensuring correct cash banking procedure is adhered to.

Checkouts

·                     Ensure through the Checkout Manager that the cheque acceptance policy is carried out.
·                     Ensure that void control procedures are adhered to on a daily basis.
·                     Ensure through the Cash Office Supervisor that all Verifone units are in a working order and daily "end of day" is actioned.
·                     Ensure through the Checkout Manager that all cashier overs and unders are timeously investigated and actioned.
·                     Ensure audits are conducted on Team Purchases.
·                     Ensure that all company procedures and policies relating to the checkouts are adhered to.
Cash Office
·                     Ensure through the Cash Office Supervisor that the main float and cashier float registers have been drawn up and are complete.
·                     Ensure through the Cash Office Supervisor that the main safe is counted and handed over before any day off or leave.
·                     Ensure the cash office team balances the safe daily.
·                     Ensure the safe and floats are checked and counted by yourself, twice a month.
·                     Month end report to be submitted to Admin. and Finance departments.
·                     Ensure through the Cash Office Supervisor that the correct banking procedure is adhered to.
·                     Ensure through the Cash Office Supervisor that access to the main cash office is for authorised team only.
·                     Ensure that all Company Policies and Procedures, relating to the Cash Office, are adhered to at all times.
Customer Service
·                     Check and sign the Gift Voucher Reconciliation every day.
·                     Check and account for all Game Monies issued.
·                     Check and account for all loan items.
·                     Check and account for all Telkom Phone cards once a week.
·                     Check and account for all Gas Cylinders.
·                     Ensure through the Customer Service Supervisor that signatures are obtained for all items returned to the Sales Floor / Service Centre.
·                     Ensure that all Company Policies and Procedures, relating to Customer Service, are adhered to at all times.
General
·                     Have a thorough knowledge of Industrial Relation procedures, in order to carry out investigations and disciplinary/grievance hearings.
·                     Ensure that there is a properly trained and knowledgeable person to carry out your duties during your absence or leave.
·                     Have a working knowledge of all other Admin. Manager's functions.

Vacancy: Floor Manager – Food

Duties and Responsibilities;
·                     Develop and Implement strategies to meet sales targets
·                     Develop and Implement strategies to meet GP targets
·                     Monitor wastage and develop and implement methods to reduce wastage
·                     Develop and implement shrinkage controls
·                     Manage expenses within budgets
·                     Optimize sales/m2 by setting targets per product category
·                     Evaluate rate of sales / product category and implement recommendations for improvement
·                     Identify ideal stock levels per product category
·                     Determine range per product category
·                     Evaluate ordering records per product category in relation to rate of sale
·                     Evaluate delivery schedules and implement recommendations for improvement on a monthly basis
·                     Conduct spot checks of products received x2 per day
·                     Implement category stock counts cyclical schedule and investigate variances
·                     Manage Swell allowance within given parameters
·                     Develop methods to improve stock turns
·                     Conduct spot checks across departments
·                     Conduct spot checks and develop methods to improve accuracy of pricing on shelf. Spot check sales floor to ensure all products have neat and tidy prices displayed
·                     Analyze price surveys and determine key lines that require price adjustment and implement accordingly
·                     Theme POS. is neat and tidy and removed once the theme is over (e.g. Easter)
·                     Design promotional concept to appeal to target market (i.e bulk displays/wet demos/in store activity/etc.)
·                     Verify promotional orders regarding quantities / timing
·                     Spot check promotional items are accurately inputted onto the system
·                     Two-way price checking to be done daily
·                     Spot check POS and develop ways to ensure that POS is up to date and accurate
·                     Spot check prices and develop ways to ensure accurate prices at all times
·                     Spot check prices, to keep close to the opposition. Inform the buyer of any concerns
·                     Evaluate stock levels according to rate of sales and duration of promotion to reduce insufficient / surplus stock
·                     Determine successes and failures for each promotion and feedback to the buyer
·                     Weekly across product categories
·                     Conduct spot checks daily to ensure all stock is clean, properly packaged and neatly displayed
·                     All floors to be kept clean, neat and tidy at all times
