ADMINISTRATIVE AND IT ASSISTANT (JOBS AND VACANCIES IN KENYA SEPTEMBER 2013)

General Purpose
We are a producer of FMCG food products and value added products in the honey sector. We provide health and nutritional solutions to both corporate and individual clients in Kenya and going into the export market. Currently, we are seeking a qualified and articulate individual to join the team as Administrative and IT Assistant. This position is based in Nairobi, KENYA. The Administrative and IT Assistant will provide administrative support to accounts, production and operations, sales, marketing, and to the directors.
Job Duties and Responsibilities
Responsibilities:
  • Assisting in the day to day running of the office including sales when needed.
  • Experience in completing tenders a must.
  • Creating and editing letters for all key departments.
  • Maintain inventory of all correspondence including other incoming or outgoing documents to ensure ease of traceability
  • Ensure that all matter pertaining to administration which may include but not limited to incoming and outgoing payments are made and collected on schedule; organizational insurance matters, security, travel and accommodation are organized and scheduled
  • Responsible for maintaining time information of all field staff, production floor staff, support staff and drivers
  • Ensure adequate and accurate data is entered and maintained for organizational vehicles and motorcycles including maintaining work tickets and job cards on fuel consumption, movements, maintenance, repairs, insurance and physical security.
  • Attend to all telephone enquiries and ensure that all received and made calls are handled in an appropriate professional manner.
  • Creating and sending daily reports pertaining to work done.
  • Making sure that the work environment is presentable and clean at all times.
  • Perform any other duties assigned

Required Qualifications
  • Diploma in Business Management
  • Age 24-28
  • Excellent organizational and administrative skills
  • Excellent oral communication skills are a MUST and especially problem solving skills
  • Excellent Customer service
  • Very good knowledge and use of Internet & Email and other computer software
  • Good Multi-international or global business environment knowledge required
  • At least 3 year experience working in Administration, IT and Office Operations
  • Excellent report writing skills and presentation skills
  • Must be smart and presentable with excellent command of English
  • Ability to be flexible and adaptable to needs and demands without difficulty, strong ability to multi-task and attention to detail is a MUST
  • Certificate of Good conduct
  • Able to deal with difficult clients and visitors in a professional manner
  • Be professional in communication and conduct
  • High level of attention to detail
  • Be articulate and self-confident
  • Able to follow through with tasks
  • Ability to adopt a flexible approach to meet the needs of the business

The terms of remuneration are a fixed salary dependent on skills, experience and qualifications
