LOGISTICS INTERN

Location: Nairobi, Kenya
Line Manager: Logistics Manager

Currently the mission is implementing program activities in West Pokot, Isiolo, Tana River, Garissa and Dadaab refugee camps.

The intern’s objectives and activities include:
Objective 1: Complete inventory list for Nairobi office / store and develop tags

  • List of items in office and store that should appear in the inventory form ;
  • Record all items in the inventory forms and allocate reference
  • Tag items with allocated reference;

Objective 2: Support full inventory of store (Main office and container) and ensure all stock cards are up to date and stock report is up to date as well:
  • Perform full inventory of stock;
  • Countercheck finding with current stock report and amend where need be;
  • Allocate procurement line reference to items which miss one according to KLV3 guidelines.
  • Review filing of Stock card according to KLV3 guidelines to ensure easy retrieval when needed

Objective 3: Organise all archives in the container, label boxes and develop an archive data base according to KLV3 guidelines.
  • Review current boxes content and boxes label
  • Allocate archive box number according to KLV3 guidelines
  • Fill the archive database
  • Provide recommendation for the roll out of this new tool
  • Prepare roll out presentation according to above activity and feedback from Logistic Coordinator.

Objective 4: Support review of equipment list by reviewing finance archive from 2008 to identify procurement documents and budget lines:
  • Retrieve financial document related to any equipment procurement to identify equipment related information (brand model, serial number…) and support Log IT to update the equipment list procurement part.
  • From Saga extract
  • Randomly on all finance box files

Objective 5: Support Logistics Head of Department in the elaboration of Supplier Frame Agreement for various markets:
  • Support developing the criteria of selection of suppliers per market.
  • Develop supplier questionnaires for the request for quotations
  • Develop Request for quotation including detailed list of items with clear description and technical specification
  • Perform, together with Logistics Head of Department some supplier visit.
  • Compile proposal from the bidder in an assessment table to select supplier.
  • Develop a price catalogue according to price list attached to each new contract.

Objective 6: Support transition from manual stock report to the use of Stock Follow up for Nairobi and field base (from Nairobi)
  • Transfer data from manual stock report to Stock follow up form for all bases.
  • Allocate Procurement Line reference to items missing it according to KLV3 guidelines for all bases.
  • Support Nairobi store keeper to build his capacities to use this new tool
  • Roll out SFU by supporting base log in the field if time allow or during log review meeting.

Qualifications 
  • University graduate who has recently completed a specialised course in Supply Chain Management, or still undergoing the course and requires industrial attachment
  • Strong interpersonal relations
  • Quick to learn and willing to undertake assigned duties
  • High sense of integrity, transparency and moral values.
  • Language skills: English and Kiswahili fluent
  • Computer skills:
  • Good communication, teamwork, knowledge of warehousing, stock management and control

What ACF will offer:
  • Start date: September 2013
  • Duty station: Nairobi Office with possible travel to the field bases. ACF will provide transport and accommodation plus meals when travelling to the field bases
  • Monthly Stipend
  • Duration of contract: Three months
