PROGRAMME ASSISTANT

Post Title: Programme Assistant , Grade G4
Duty station: Nairobi
Duration: 24 months (12 Months probation) with possible  extension depending on available funding.
Start Date: ASAP
Reporting to: Works under the overall guidance of  the FAO Representative and the direct supervision of the Assistant FAOR (Programme).
Job Role, Duties and Responsibilities
The Programme Assistant G-4 provides information and operational assistance for programmes and projects of the FAO Representation. He / she works under the overall guidance of the FAO Representative and the direct supervision of the Assistant FAOR (Programme).
The incumbent performs the following duties:
  • Collect and prepare data and (background) information in the areas of FAO’s activities in the country (agriculture, forestry, fisheries, rural / sustainable development); edit the information in appropriate format.
  • Assemble into final form project documents, selected background material and ensure that agreed input and related specifications are properly reflected.
  • Assist in drafting of initial project budgets, revisions and amendments and prepare budgetary documentation
  • Enter, select, analyse and summarize data from various sources, including FAO corporate systems, such as COIN (Country Office Information System), FPMIS (Field Programme Management Information System), Datawarehouse, FAS, country databases, etc.
  • Participate in project monitoring by maintaining current registers and controlling tools on the status of projects at various stages; review inputs, expenditures and time frames according to work plans; make necessary abstracts and computations; detect inconsistencies.
  • Initiate or follow up a broad variety of administrative and operational actions necessary for the timely implementation of projects including recruitment actions travel requests, letters of introduction/instructions briefing schedules and procurement of equipment, supplies/services
  • Assist in the preparation and submission of Quarterly Project Implementation Reports (QPIR) and any other periodic and ad hoc project reports.
  • Prepare background material, working papers and tables for briefings, review sessions and meetings.
  • Prepare correspondence to verify data, answer queries, and obtain additional information on transactions and operational matters, as required.
  • Maintain a filing system of technical, project and administrative documents and correspondence.
  • Carry out other specific operational and administrative tasks for the Representation, programme/ project implementation as requested.
  • Support in liaison with the relevant government ministries for the project implementation
  • Perform other related duties as require

Qualifications and experience:
Education:
  • Secondary school education, including or supplemented by courses in general administration, information technology and project management.

Work Experience:
  • Five years of programme operations work involving, collection of data analysing, processing, concepts development, project proposal development, reports writing and editing, minutes taking, excellent in PowerPoint preparation as well as good in electronic file management.

Languages:
  • English is the official language of the duty station

Desirable qualifications
  • Competence in Supporting project planning and implementation as well as field operations;
  • Exposure to project management and programming
  • Extensive knowledge of FAO or related UN procedures;
  • Ability to plan and organize activities; to work under pressure and in multi-disciplinary and cultural teams;
  • Ability to support a team of professionals staff;
  • Excellent interpersonal communication skills
  • Quality of both oral and written communication skills.
