ADMISSION / BED COORDINATOR, ELECTRICAL SUPERVISOR AND MEDICAL HEALTH RECORDS IN CHARGE (JOBS AND VACANCIES IN KENYA OCTOBER 2013)

Vacancies: Admission / Bed Coordinator, Electrical Supervisor and Medical Health Records in Charge 

AIC Kijabe Hospital is a leading Christian faith based level 5 hospital in Kenya. We wish to recruit for the following positions.  Applicants must be born again Christians.
 
Position: Admission / Bed Coordinator

Purpose: 
To glorify God through the optimal utilization of the hospital's bed capacity and facilitation of the patient admission process.

Duties & Responsibilities
Witness
:  Be a witness of Jesus Christ to patients and families and a disciple of staff to the glory of God.
Bed Management:  
  • Maintain a constant and current knowledge of the hospitals bed status and distribute this information to stakeholders on a regular basis (10am4pm Monday to Friday).
  • Through liaison with the wards, outpatient department and theatre heads of department (HOD) be aware of required admissions over the next 48 hours as well as likely discharges.
  • Ensure beds are prioritized and distributed to patients as per the hospital policy.
  • Liaise with ward in-charges and medical staff to ensure discharges are completed in a timely fashion each morning (before 11am).
  • Proactively coordinate with the finance & social work teams to ensure discharges are not delayed due to financial issues.
  • Ensure appropriate handover to and from the night coverage nurse on a daily basis.
Patient Admissions:
  • Be responsible for receiving phone calls from all elective patients 24 hours prior to booked admissions to confirm bed availability.
  • Co-ordinate with Theatre and Surgery HODs if elective surgery requires cancellation/restructuring.
  • Guide elective patients through the hospitals admission process
Additional Responsibilities
  • Be willing to take on other relevant tasks as deemed appropriate by the Deputy Nursing Director
Qualifications and personal attributes
  • Diploma in Business management (degree is preferred)
  • Certificate in Computer studies
  • Good interpersonal and teamwork skills
  • Excellent communication skills in both English and Kiswahili (Somali in addition would be an asset)
  • Self-driven with evidence of prior initiative
  • Able to work effectively with minimum supervision.
  • Experience in Health Care essential
Position: Electrical Supervisor

Main Purpose: 
To plan, direct, coordinate and supervise the electrical department workforce ensuring a safe and efficient operation, while observing the required regulations and setting priorities in a changing environment.

Key Responsibilities:
  • Provide direction and support to the electrical department by improving the performance of the crew (reworking, planning, scope, quality of work, clean up, clearly defining new expectations).
  • Provide direction for repair, inspection, modifications, commissioning and testing of electrical systems of relevant equipment within the hospital, its environs and satellite clinics.
  • Plan layout and installation of electrical wiring, equipment and fixtures, based on job specification and local codes.
  • To attend review meetings related to electrical systems, give input and review detail engineering packages of Capital projects and any electrical design changes.
  • To liaise with departmental staff, client departments, contractors, suppliers and statutory authorities in matters relating to work as appropriate.
  • To ensure that materials, equipment and plant detailed in specifications and drawings for construction or improvement work are procured in accordance with Kijabe Hospital procurement policies.
  • To assist in the development of appropriate work orders and IT systems (Hospital AMS) necessary for control and monitoring of resources.
  • Perform hands on statutory, preventative and corrective maintenance of the LV and HV electrical systems.
  • Supervision of electrical department staff and electrical contractors to ensure standard of their work is acceptable and  in compliance with recognized safety practices  
  • Assist in the development and implementation of Statutory, Preventative and Corrective maintenance programs.
  • Maintain records and documentation for systems, including schematic diagrams, meter readings, device details and cabling.  
  • To liaise with education department in matters relating to the development of training courses for electrical department staff.
  • To attend Engineering & Facilities departmental meetings, preparing and presenting reports and budgets as necessary.  
Skills required
  • Ability to multitask and innovate
  • Conversant with engineering drawings and schematics
  • Computer proficiency and use of CAD software
  • Good communication skills
  • Be a team player and able to coordinate with other departments  
  • Ability to organize and lead a team
  • Good and proven administrative skills
  • Sound knowledge of international codes and standards
Desired Qualifications
  • A diploma in electrical engineering, higher national Diploma or equivalent
  • Must be born again Christian
  • Sound and demonstrable know of good electrical engineering practice
  • At least 5 years relevant experience in a supervisory position
  • Experience in mechatronics will be an added advantage
Position: Medical Health Records in Charge 

Purpose: The purpose of this position is to bring Glory to God by managing records services and other assignments with Clinical Support Services as needed.

Duties and Responsibilities:
 
Leadership and Supervision
  • Lead and manage the records team, ensuring motivation of the team, building and encouraging teamwork.
  • Ensuring proper coverage, impartial allocation of duties, ensuring completion of assigned daily duties.
  • Develop team-building programme and organize continuing education.
  • Supervision of work ensuring quality standards of service are met and maintained.
  • Appraise each of the staff on an annual basis.
  • Facilitate the records GBC to set and periodically evaluate annual departmental goals.  
  • Coordinating and liaise with other hospital Departmental heads e.g. OPD, wards in charges  in relation to services given to patients
  • Interview and orientate new records staff members Organizing departmental meetings when necessary as well as attending all clinical support services and heads of departments meetings.
  • Ensuring the departments and patient’s records are kept properly and confidencialy where applicable.
  • Ensure that all staff have reported to each shift, have full uniform and maintaining the staff punctuality
  • Chair the department meetings and resolve department conflicts and issues arising
  • Ensuring the records equipment is in a functional state and are cleaned daily.
  • Ensuring continuous availability of records consumables/supplies
  • Preparing duty schedules for the staff in records department before 28th of every month.
Administration:
  • Prepare and manage the records budget.
  • Develop, review and regularly update procedure manual for the records department.
  • Review with the medical staff and update regularly the Kijabe Hospital Medical Records.
  • Provide daily, monthly and annual report to the entire Kijabe hospital higher authorities as needed.
  • Ensure that GOK registers are filled in the relevant departments
  • Sign and send births, death notifications to the District registrar of births and deaths.
  • Implement Kijabe hospital polices within the department
  • Perform any reasonable work related duties as may be assigned by the Nursing director in liaison with the OPD manager.
Minimum Acceptable Qualifications:
  • Diploma in Medical records from K.M.T.C or equivalent with at least one year of experience
  • Computer skills in Microsoft Word, Excel, and Access
  • Coding and indexing skills
  • Communication ski
  • Leadership and management experience
